Job Purpose:

To provide proactive, prompt, friendly and outstanding customer service to all clients over the telephone and in the office. Support fellow associates in performing their duties. Promptly route all clients and correspondence to the appropriate department. Maintain an excellent attitude and professional demeanor while carrying out any number of daily tasks or assignments.

 

Responsibilities:

  • Act as Main Switchboard for the Home Office. Handle all incoming calls, transfers and inquiries.
  • Direct Clients 
  • Receive and distribute all incoming mail and Fed-Ex deliveries.
  • Update and distribute new hire welcome packets to our new employees at the home office.
  • Scan and input funding packets into encompass
  • Create Fed-Ex labels and send packages as needed.
  • Reconcile monthly American Express bill.
  • Maintain meeting room calendars.
  • Assist with meeting/conference room set up as requested.
  • Receive and process business card orders for Home Office employees.
  • Responsible for tracking & temporary assignment of guest or maintenance building/suite key cards.
  • Ensure lobby, meeting spaces and copy areas are orderly and professional in appearance at all times.
  • Order and maintain supplies including office, coffee, copier and mailing.
  • Maintain front desk information binder
  • Assist with ordering lunches for team meetings and training.
  • Provide assistance to other home office departments as requested; upon Manager approval.
  • Assist with other tasks as assigned by Manager.

Skills and Abilities:

  • High school diploma
  • Works scheduled hours per office hours.
  • Clients are greeted promptly and made to feel welcome, appropriate associate is immediately notified.
  • All callers and walk-ins are promptly greeted and routed to the appropriate associate, proper responses are given when associate is not available.
  • Effectively use computer system (email, Internet, Excel, Word and other software).
  • Uses time in an efficient manner.
  • Is proactive in asking for additional tasks.
  • Completes tasks efficiently, thoroughly and on time.
  • Provide outstanding customer service to all clients and associates.

 

Salary Range:

  • $20.00 – $22.00 hourly
